General Conditions of Sale (applicable to individuals and companies)

Order

    • Orders must be placed at least one week before the event date.

    • Validation of personalized content must be done at least 15 days before the event date.

After order validation

    • No claims regarding the price of the service will be accepted if the number of participants decreases within 5 business days prior to the service.

    • For payments made from abroad, additional bank charges will be borne by the client.

Modification or cancellation by the client – Cancellation policy

    • Cancellation possible up to five business days before the event for a full refund.

    • No refund will be made if cancellation occurs less than 5 business days before the event. The session code remains valid for one year (365 days) from the date of purchase.

    • Cancellations must be notified in writing to be taken into consideration.

    • In the event of a lockdown announced for the period of the event, cancellation is possible up to three business days before, with a full refund.

    • A decrease in the number of participants less than 6 business days before the event will not result in a modification of the planned budget. Written adjustments received more than 5 business days before will be taken into consideration, up to the limit of 90% of the initial number of participants.
      – An exceptional increase in the number of participants is possible up to the day before the event, which will result in a revision of the budget.

SPECIFIC CONDITIONS

    • Companies: For events that include workshops or require additional staff, the distribution of animators/participants can be customized.

    • Individuals: With Soloteam mode, the presence of an animator is not required. The game can start whenever you want.

Cancellation due to an external event:

    • In the event of cancellation due to an external event beyond the control of the client and LET’S CHALLENGE, the client will only be charged for the expenses already paid.
      Examples of force majeure: catastrophe in the game area or on its route, pandemic (WHO declaration), acts of violence in the game area (terrorist attacks, urban violence, demonstrations).

    • LET’S CHALLENGE declines all responsibility for cancellations caused by adverse weather conditions.

Cancellation by LET’S CHALLENGE (Companies):

    • In the event of cancellation by LET’S CHALLENGE, a suitable solution will be discussed with the client. A full or partial refund of sums already paid is possible.

    • Specific provisions may be considered for third-party services included in the quote.

    • Additional costs may apply for customised and specific content prepared for the event.

Intellectual Property

    • Generic courses and games created by LET’S CHALLENGE are its exclusive property. Their reuse requires our prior agreement.

    • Specific content created for a client belongs to the latter. LET’S CHALLENGE undertakes not to reuse them without prior agreement and to maintain the confidentiality of the information provided.

Debriefing (business activity only)

The search for a reserved place (mandatory in the context of a debriefing) is not included in the standard service. The search for this place may be the responsibility of the client or may be entrusted to LET’S CHALLENGE as part of an additionally billed service. If LET’S CHALLENGE makes a financial commitment to a reception facility, the client will be responsible for this commitment.

Safety and Behavior

    • Participants must respect the rules of good conduct, the environment and the equipment provided. In the event of serious violations (theft, noise disturbance, damage, non-compliance with safety regulations), exclusion from the event will be immediate, without the right to any type of compensation.

    • Any damage or act of incivility will be charged to the client.

Content

    • Customised content must be definitively validated at least one week before the event date. A delay in this validation may result in penalties or, in some cases, in the impossibility of carrying out the planned event.

    • After delivery of the content, any modification requests by the client must be grouped and submitted within a period of five working days. After this period, the service will be considered definitively accepted. Comments received in this context will be processed within four working days. The modification of a service already validated will require the preparation of an additional quote.

General Logistics

    • If the location search has not been assigned to LET’S CHALLENGE, it is the client’s responsibility to inform LET’S CHALLENGE. The distribution of participants into teams must be communicated at least 2 days before the event. In case of specific requirements regarding the dress code, these must be communicated 2 weeks before the event and may be subject to additional billing.

Briefing

    • For rallies requiring an entertainer, if no specific material is needed at the indicated location, the entertainer will arrive 15 minutes before the start of the event. For activities requiring special preparation, the entertainer will be present at least 45 minutes before for the briefing.

    • Depending on the complexity of the event, LET’S CHALLENGE may ask the client to provide a suitable space for the briefing.

Game

    • Throughout the activity, the facilitator(s) will be present in the playing area and will be able to send real-time messages to the teams. They will remain accessible throughout the event, with a telephone number that will be provided on the instruction sheet.

The client authorizes the use of the images taken during the activity and undertakes to inform the participants about this use. The media will be shared with the client through a link sent by email.

Social networks

    • For its promotional purposes, LET’S CHALLENGE reserves the right to publish mentions of the event on social media without revealing the name of the client, unless explicit authorization has been granted in advance.
